Workflow Intelligence is a tool to help you manage the performance of your workflow.

It works with your existing workflow or case-based system to measure and track transitions through your workflow processes providing a number of business benefits:

  • Provides real-time visualistion of your workflow
  • Allows for definition and measurement of Service Level Agreements and Key Performance Indicators.
  • Gives team members instant access to team performance
  • Provides the ability to securely share information with 3rd Parties.
  • Helps to identify bottlenecks or process leakage
  • Aids in the prioritisation of tasks
  • Provides simple analysis for investigations of issues
  • Offers a "common source of truth" for workflow data for management, staff, partners and end users

How does it work?

Workflow Intelligence consists of 3 major components:

  1. An Extract, Transform and Load tool which is designed to extract workflow data from any case-based or workflow based-system
  2. A data model which is designed at managing the worrkflow data in a source-agnostic manner. The data model also contains a unique security model to ensure data can be organised in hierarchies.
  3. A website which is tailored for the viewing, reporting, exporting and analysis of the workflow data

Why Analyse Workflow Data?

Measurement is the key to process improvement. In order to carry out business process improvements, it is impertative that you measure your starting point. Workflow Intelligence can be used to measure your current workflow, and subsequently to measure improvments gains as they are made.

Out of the box visualisations

Supplied with a default install of Workflow Intelligence are a number of views of your workflow data:

  1. Volume summary - This gives and indication on the volume of business passing through your workflow system.
  2. Work in progress summary - This gives an indication on the volume of business currently in the workflow system (i.e. work not yet completed)
  3. Service level summaries - This gives a dashboard view on how the workflow is performing in relation to specified service level agreements
  4. Service level details - This allows you to drill into the detail on service level summaries to examine in more detail how close the workflow is to meeting SLAs.

Data Sharing

Workflow Intelligence provides full "virtual private database" technology to provide data hiding. This ensures that each user has an associated set of data which they are allowed access to. This is organised in "hierarchies" to provide levels of views appropriate to the user. For example, a hierarchy can follow your organisation chart: A low-level user may have only access to cases assigned specifically to them, whilst their manager can have a team level view.

This concept can be further extended to allow partners access to the system, with similar controls on what cases they can view. Using this feature, Workflow Intelligence is an effective tool for sharing the "common source of truth" for workflow data.
